Tips From The Billing Department

Surcharge Clarification Released by SDDC

SDDC has released the long awaited update… to the clarification on the applications of surcharges. As we hoped, the clarification did add codes 5, J, & T as viable codes for billing items COF(security charges) and CON (port congestion charges). As many of you know, we had stopped billing those charges on those codes until we received a reversal from SDDC on their previous position. Transmission issues

We had made mention some time… ago about transmission problems that were occurring between CWA and PowerTrack. The transmission delay was occurring in CWA when all line items on the invoice had been approved or denied and should have been sent back to PowerTrack. State Department Billing and PowerTrack

Recently, the Department of State announced that in the future, all of their invoices must be submitted via PowerTrack. Since then, we have received many calls from TSPs that are involved in Department of State moves, inquiring about our availability to submit State Department invoices to PowerTrack via EDI.
Unfortunately, as of today, there is no way for any company to submit EDI invoices to PowerTrack for Department of State shipments. PowerTrack has not enabled a EDI interface for these…

Extension of Pier Pass Charge

We are aware that several carriers have received Notices of Overcharge (NOC’s) from GSA following the recent clarification… regarding the proper usage of the bunker surcharge, warrisk and related item codes as well as the clarification to which service codes they are applicable. Long Delivery Mileage

There has been some concern regarding overseas long delivery mileage from SIT that has been brought to our attention from the PPSO level. Because of the multiple locations in overseas countries with the same city name, our billing policy is that we do not automatically bill for long deliveries over 30 miles for baggage shipments or over 50 miles for HHG shipments, with the exception of Korea.

At the SDDC Europe meeting last week, SDDC personnel made it clear that they are attempting to streamline the CWA help desk processes. Related to that goal, they have released a number of items that will now be required with every help desk ticket opened:

  • Origin GBLOC
  • Destination GBLOC
  • SCAC of TSP
  • BL Number
  • TSP Invoice Number
  • Brief Problem Description

Failure to provide all of the information will result in the help desk ticket being immediately closed due to lack
